Intake Specialist
Role Description
The Intake Specialist is often the first voice a 9/11 survivor or first responder hears when they reach out to our firm for help. This role carries real weight: our clients are individuals who sacrificed their health and safety in service to others, and many are reaching out at one of the most difficult moments of their lives. We are looking for someone who combines meticulous organizational skills with genuine warmth, patience, and compassion — someone who understands that how we answer the phone matters just as much as what we say.
The Intake Specialist is responsible for guiding prospective clients through the onboarding process to initiate a 9/11 VCF Claim, gathering the information necessary to evaluate eligibility, and ensuring every caller feels heard, respected, and supported from the very first interaction.
Key Responsibilities
- Serve as the first point of contact for prospective clients, answering incoming calls and emails with warmth, patience, and professionalism, and creating a welcoming environment for survivors and first responders who may be sharing their stories for the first time.
- Conduct thorough intake interviews by telephone, gathering essential background information including exposure history, medical conditions, and all potential damages.
- Listen actively and empathetically to clients’ personal accounts, recognizing the emotional weight of their experiences and responding with sensitivity, compassion, and respect at all times.
- Clearly explain the VCF eligibility process, the role of the World Trade Center Health Program, and the firm’s representation in plain, accessible language, ensuring prospective clients feel informed rather than overwhelmed.
- Accurately document all intake information in the firm’s case management system, capturing details necessary for attorneys to evaluate eligibility and next steps.
- Follow up with prospective clients to collect outstanding intake documentation, maintaining consistent and encouraging communication throughout.
- Coordinate with attorneys and claim managers to facilitate a smooth handoff from intake to active representation, ensuring no critical information is lost in transition.
- Manage a high volume of inbound and outbound calls while maintaining a calm, organized, and client-centered approach in every interaction.
- Stay informed on the WTCHP and VCF program updates that may affect prospective clients.
- Treat every caller with dignity and discretion, maintaining strict confidentiality of all personal, medical, and legal information shared during the intake process.
Compensation
Hourly position with annual compensation range $60,000-$80,000 annually commensurate with experience
Requirements
- Exceptional interpersonal and active listening skills, with a demonstrated ability to communicate sensitively with individuals who have experienced trauma or serious illness.
- Strong organizational skills and attention to detail, with experience accurately documenting information in a case management or CRM system.
- Ability to explain complex eligibility requirements in clear, compassionate, and accessible terms.
- Prior experience in a client-facing telephone role, preferably in a legal, healthcare, social services, or victim advocacy setting.
- Resident of NJ or NY, with ability to commute to Lower Manhattan office as needed
- Bachelor’s Degree
Preferences
- Verbal and written fluency in Spanish, Mandarin, or Cantonese
Work location and schedule: Monday - Friday. Primarily remote work with in-office work at our lower Manhattan office as required to meet with clients or staff.

Role Description
The Claim Manager plays a central role in advocating for survivors and first responders by guiding their claims through the World Trade Center Health Program and the 9/11 Victim Compensation Fund. This position requires exceptional organizational skills, deep familiarity with program requirements, and a compassionate, client-centered approach.
Key Responsibilities
- Manage the full life cycle of 9/11 Victim Compensation Fund (VCF) claims under the oversight of partners and attorneys, from initial intake and eligibility assessment through claim submission, amendment, appeal, and final settlement.
- Assist attorneys to prepare, organize, and submit claim packages to the World Trade Center Health Program (WTCHP) and the VCF Special Master’s Office, ensuring all documentation meets current program requirements and deadlines.
- Coordinate directly with clients and witnesses to gather, verify, and prepare supporting documentation, including personal histories, exposure narratives, and sworn statements.
- Request, obtain, and review medical records, employment records, union documentation, and business records to substantiate certified conditions and economic loss claims.
- Monitor and track claim status, VCF award notices, and program deadlines; communicate proactively with clients to provide accurate, timely updates at each stage of the process.
- Serve as a compassionate and knowledgeable point of contact for clients, clearly explaining complex program requirements, realistic expectations, and next steps in plain language.
- Maintain organized and up-to-date claim files in the firm’s case management system, ensuring compliance with firm procedures and applicable confidentiality requirements.
- Stay current on WTCHP and VCF program policies and updates; apply that knowledge to active matters and flag relevant developments to supervising attorneys.

Trust & Estates Attorney
Key Responsibilities:
- Advise clients on estate planning considerations arising from serious illness, including the preparation and execution of wills, trusts, health care proxies, powers of attorney, and advance directives, ensuring clients' affairs are in order throughout the claims process.
- Represent the estates of deceased VCF-eligible individuals, including obtaining Letters Testamentary or Letters of Administration in New York and/or New Jersey Surrogate's Court and filing claims on behalf of eligible estates and personal representatives.
- Review and analyze VCF award determinations, identify grounds for amendment or appeal, and advocate before the Special Master's Office on behalf of clients and their estates.
- Coordinate with the firm's partners, attorneys, and claim managers to ensure seamless integration of legal representation across the VCF process.
- Draft, review, and negotiate legal documents including retainer agreements, letters of representation, settlement authorizations, and estate-related instruments.
- Advise beneficiaries and family members on the distribution of VCF awards, including tax implications, creditor considerations, and the interplay between VCF proceeds and public benefits such as Medicaid or SSI.
- Maintain current knowledge of VCF Special Master regulations, program policy updates, and relevant changes in New York estates, powers, and trusts law.
- Provide compassionate, clear legal guidance to clients who are seriously ill or grieving, ensuring they fully understand their rights, options, and next steps at every stage.
Compensation
- $130,000-$180,000 annual salary commensurate with experience
Requirements

- Resident of NJ or NY, with ability to commute to Lower Manhattan office as needed
- J.D. from an accredited law school and admission to the New York State Bar in good standing
- Minimum 3–5 years of experience in trusts and estates law in New York, with demonstrated experience in New York Surrogate's Court proceedings.
- Working knowledge of the interplay between estate assets, public benefits programs (Medicaid, SSI), and personal injury or wrongful death recoveries.
